Perpetual Registration Policy

Winter Session (January - April): Our perpetual registration policy does apply to our Winter program. To be clear, you will be perpetually registered for Spring (April - July) in the same day and time you are registered in for Winter. That being said if you would like to withdraw from Spring, you will receive an email with a withdrawal form approximately halfway through the session.

Spring Session (April-July): Our perpetual registration policy does apply to our Spring program. To be clear, you will NOT be perpetually registered in to Summer (July/August), but you WILL perpetually registered for Fall (August - December) in the same day and time you are registered in for Spring. That being said if you would like to withdraw from Fall, you will receive an email with a withdrawal form approximately halfway through the session.

Summer CAMPS and Summer PREP (July/August)(Mondays to Sundays): Our perpetual registration policy does NOT apply to our Summer Camp program (Mondays to Fridays) and our Summer Prep program (Saturdays and Sundays). To be clear, you will not be perpetually registered for Fall. If you would like to register for our Fall session (August - December) please note that the schedule will be online in mid-May, and registrations will open to loyal clients in early June. Best to register in early June (as space is limited) and registration opens to the public around mid-June.

Fall Session (August - December): Our perpetual registration policy does apply to our Fall program. To be clear, you will be perpetually registered for Winter (January to April) in the same day and time you are registered in for Fall. That being said if you would like to withdraw from Winter, you will receive an email with a withdrawal form approximately halfway through the session.

1) We will be charging all perpetual clients for the upcoming session 6-10 weeks prior to the end date of the current session. 2) You will receive an email statement before we charge your credit card. The tuition fees on your statement may be more or less than the current session tuition fee paid. The difference in rate may be due to a different session length. Please note, all credits from the current session will be applied to your account, reflected in your statement, and deducted from your upcoming session's tuition fees before charging your credit card. 3) All withdrawals are final. Once your withdrawal request is received, your time slot immediately becomes available for other families. If you have a change of heart, you will need to re-register.

Safety Precaution

As a safety precaution please note that before and after your lesson, your child's safety is your responsibility. Please keep your children within arm's reach as the pool is a dangerous place for unsupervised children. Outside of your lesson time, our coaches do not assume responsibility for your child as they may not be in the pool area or may be preoccupied with other classes. This is especially important for our Walnut Grove and Abbotsford schools as there are no safety doors between the change room and the pool area.

Swim Fins Admin Fee

Please note there will be a $30, per family, non-refundable administration/insurance fee added on when your credit card is charged.

Cancellation Policy for Medical Illness

For the well-being of every child and coach, we ask that you keep your child at home should she/he display any of the following symptoms: temperature above normal, excessive coughing, sinus or nasal infection, diarrhea and/or vomiting (within the previous 24 hours). If a swimmer can not attend their lesson because they are sick we will credit your account for ONE missed lesson per session (8-17 lessons). All severe extended medical absences (2 lessons or more due to broken bones, etc.) are subject to a $25 admin fee.

COVID-19:

If any of the below applies to you or your family, you will inform the Swim Fins office before your next lesson via email (info@swimfins.ca) and you will not come to the facility for at least 10 days, as per COVID-19 isolation procedures:

  1. You or your family are under 5-10 day self isolation.
  2. You or your family are under quarantine protocol.
  3. You or your family are feeling unwell, coughing, having shortness of breath, sore throat, fever, or any similar conditions relating to COVID-19.

All requests for Medical Cancellations must be:

  1. Supported by a Doctor's note.
  2. Made at least 24 hours before the class.
  3. Made in writing and include swim school location and day and time of class.
  4. There will be no cancellations accepted for the last class of each session.

The Credited Amount:

  1. Will be credited to your Swim Fins account.
  2. Can be used towards Swim Fins programs or merchandise.
  3. Cannot be redeemed for cash.

To notify Swim Fins of absenteeism:

  1. If you are in a private lesson please text us at 604.341.6069 and you can earn a credit to your Swim Fins account for 20% of that lesson's cost.
  2. If you are in a group lesson, as we know you are busy, we do not require you to contact us.
  3. If you have a doctor's note for a missed lesson due to medical illness please email this to info@swimclo.com.

Cancellation for Non-Medical Reasons

  1. Unfortunately, we have a zero cancellation policy: there will be no refunds or make-up classes for missed lessons - we do apologize for any inconvenience as we have to pay coaches and pool rental regardless of whether you are there. Please book all other activities around your commitment to the swimming program.
  2. Report your ABSENCE to recoup 20% of your total lesson cost for that day. Please note this would be in the form of a credit to your Swim Fins account to be used toward future lessons with us. Only applicable when all swimmers will be absent for the entire class (i.e. private, semi-private, and family lessons).
  3. Swim Fins retains the right to refuse business.

Session Cancellations (for sessions lasting 8-17 lessons)

All approved session cancellations (for sessions lasting 8-17 lessons) are in the form of a credit for future lessons with us. Credits can be used by anyone in your family and do not expire. Swim Fins Swim School requires a minimum of two weeks (14 days) notice before the first day of program for any cancellations. Up until this point, we will gladly issue a credit to your Swim Fins account for the full amount, minus the non-refundable admin/insurance fee. Any cancellation requests received with less than 14 days notice before the first day of program will unfortunately not be accepted as we have a zero cancellation policy beyond the 14 day period. Our lessons are in high demand and late cancellations take away the opportunity for someone else to join. There are no refunds for missed days due to changed work or vacation schedules, sick days, or other non-emergency reasons.

Please check your calendar carefuly and plan to attend the lessons you sign up for, or have someone bring your child to class on your behalf if you are unable to bring them. Make up classes are not available as they overload our other lessons and the addition of a new child into a current class setting is disrupting and distracting to the other children in the class.

Swim Fins allows credits on account for session cancellations after the 14 day cancellation period under the following circumstance: cancellation request is supported with medical documentation that indicates the participant cannot carry on with lessons for the rest of the session. Please note there is a $25 admin fee for session cancellation due to medical reasons.

Changing Class Times

In the event that you need to change your class time, a $35 fee per family, per switch will apply.

Additional Students

Swim Fins reserves the right to add in additional students, without consent (up to a maximum class size of 5 swimmers) as this is how we can maximize our program excellence. If you prefer Swim Fins not add in additional students to your class please contact us to discuss how to rent out the coach and pool in its entirety. Please note that Swim Fins operates its programs through customized lesson plans for each student. This means that if there are additional students added to a class, Swim Fins ensures that each student is working on his/her own plan and his/her lesson quality or safety will never be compromised because of additional students, regardless of their swim level or age. If your class does not meet the minimum number of students for the lesson to run, we will contact you to discuss options of decreasing the lesson duration or paying an additional fee.

Declined Credit Cards

If a credit card declines and the issue is not corrected within 48 hours, a $10 re-charge fee will be applied to the next attempted payment. Please make sure your credit card information is up to date by logging in to your parent portal.

Private Learning Environment

In order to offer the highest quality lessons and to ensure that students aren’t distracted during their lessons, Swim Fins asks that parents understand that we do not allow parents on the pool deck and there is unfortunately no viewing area. We do this to ensure that the students are focused and not distracted by trying to impress Mom or Dad. You will, however, be invited to attend one of our open houses whereby you will have the opportunity to view your child’s success. Whenever possible please take your child to the pool so you can be amazed at their progress and practice the skills they are learning.

Report Cards

In the event that you are unable to collect your report card on the last day of lessons and require this documentation, reach out and we will send you your report card for a $25 admin fee.

Photography and Media

I agree that Swim Fins Swim School and its members may photograph, film and/or otherwise reproduce my (or my child's) likeness and/or voice in the course of my enrolment and participation in programs and events conducted or sponsored by Swim Fins Swim School. I acknowledge and agree that Swim Fins or its designate will own all worldwide right, title and interest in and to the Reproductions.
