This page is full of important information including a form to fill out for your first lesson of the session, directions to our three pool locations, important information for your first lesson, our policies and procedures and drop-off/pick-up information etc. Please note classes will NOT be running for Fall session on the following stat days: "Labour Day" on Monday  Sept 5, "Thanksgiving" on Monday Oct 10 and "Remembrance Day" on Friday Nov 11.


Important Information For Your First Lesson

1) a) CHILD SWIMMERS: If you have a child participating in lessons please hand in the completed 'Children's Information Page' (click here) for your child. Please note even if you are a returning family a new form must be completed for this session.  

    b) ADULT SWIMMERS: If you are an adult participating in lessons yourself please complete the 'Adult Medical Form' (click here) for people 19 years and older.

2) Please hand in your child's swim report card.

Open House Information

Fall Open House dates will be announced mid October.

On Open House Day, come and be amazed by your child's progress and watch our experts in action during the last 20 minutes of your child's lesson. Invite Dad and a friend who is interested and come armed with cameras and video cameras, and get ready to cheer on your child!

Follow these directions to the hotel's pool

  • Park in the front of the hotel.
  • Come through the main doors
  • Check in at the front desk for your lesson by giving your child's name.
  • Pass the front desk and turn left.
  • Take your first right.
  • Immediately on your right hand side you will see the elevator and on your left hand side you will see the stairs. Either one will take you to the basement where the pool is located.  
  • Once in the basement you will see doors on your left, if coming down the elevator - or - on your right if coming down the stairs.
  • Please come in and turn right to get to the girls or boys change room.  
  • If your lesson is scheduled for 3pm the coach will come in the change room to get your child at exactly 3pm.

 

Pick up/Drop off Procedures

  • Escort your children to and from the pool quietly, keeping children at arm's length and reminding them to keep quiet and not run.    
  • Please arrive no more than 5 minutes before the start of your lesson and be very quiet as you are waiting for the lesson in the change room. If your lesson is scheduled for 3pm the coach will come in the change room to get your child at exactly 3pm.
  • Children are encouraged to use the washroom before participating in lessons and to hang their belongings. They are also required to shower. 
  • At the beginning of the lesson please wait in the change room for the coach who will come and escort your child to the pool deck at exactly your lesson start time with their towel, flippers and goggles (if you do not own goggles or flippers, please do not purchase anything until your coach has assessed your child's needs).  Please note we sell eye wear and flippers as a convenience to parents so children can be armed with the best equipment in order to make the most out of the learning experience and not be inconvenienced by equipment that doesn't fit or work well. It is important to note that eye wear is mandatory. If wanting to purchase merchandise please bring in cash or cheque to Claudine Blair. Goggles are $25, Flippers are $40, Learning Belts are $60 and Barbells are $40.
  • Please note the fitness room equipment is off limits at all times including before, during and after the lessons.
  • Please ensure children do not eat in the changing rooms. There is a comfortanble seated area upstairs where they are welcome to eat.
  • Please ensure you and your children are not playing or congregating in the fitness room.   
  • If you are wanting your child to wear flip flops etc. on the pool deck please make sure they are brand new and have never been worn outside as per health board standards.  Ideally Swim Clo prefers that children do not wear flip flops etc.
  • Towels: the white towels are for hotel guests only. Please bring your own towels.
  • After the coach escorts your child to the pool, you are free to leave the premises, remain in the change room or sit upstairs quietly in the hotel lobby enjoying a complimentary cup of coffee or tea. Please don't sit in the fitness room as hotel guests feel intimidated to use the equipment when our guests are congregating in there. 
  • In accordance with hotel policy, the Best Western Peace Arch Inn prefers that no parents stay on the pool deck or in the fitness room during lessons. Furthermore, In order to offer the highest quality lessons and to ensure that children aren't distracted during their lessons, Swim Clo asks that parents understand that we do not allow parents on the pool deck. 
  • At pick-up time, the coach will escort your child into the change room. Please make sure you are here on time so that your child is not left unattended in the change room/hotel.  
  • If you have any feedback please discuss it with your child's coach as they are here to work with you and your child to get the most of the lessons.

Follow these directions to the hotel's pool

  • Park in the back of the hotel.
  • Come through the main doors and turn left.
  • Follow this hallway (you will see signs directing you to the pool/fitness centre) and turn right until you see on your right side a big window with a sign that reads "Adult/Child Swimming Lessons/Personal Training/Water Aerobics."
  • On the left side of the window you will see a white doorbell. Please ring the doorbell at your lesson start time so that we know you are outside and needing to be let in and just wait patiently. (The pool/fitness room doors are permanently locked).

 

Pick up/Drop off Procedures

  • Escort your children to and from the pool quietly, keeping children at arm's length and reminding them to keep quiet and not run. This is also true for the change room ("inside voices please").    
  • Please arrive no more than 5 minutes before the start of your lesson and be very quiet as you are waiting for the doors to open (there are hotel suites in this area where people may be sleeping).  
  • Please use the hotel parking located in the back (the west side) of the Coast Tsawwassen Inn. If there are no available spots, please park in the underground parking. Please do not park on the street or in the 15-minute parking at the front of the hotel, which is for hotel guests only.
  • Please ring the white doorbell once at your lesson start time - it is located beside the fitness room window - and wait quietly in the hallway to be let into the change rooms. We will come open the doors at exactly your lesson start time.  
  • Children are encouraged to use the washroom before participating in lessons and to store their belongings in a locker. They are also required to shower. 
  • If you are wanting to make the most out of every minute of the lesson it is best to have your child use the washroom in the lobby before the lesson and then wait for the change room door to open with your child already in bathing suit with goggles on their head and flippers in their hands.
  • Have your child bring their towel, flippers and goggles onto the pool deck (if you do not own goggles or flippers, please do not purchase anything we will figure out your child's needs at the first lesson). Please note we sell eye wear, flippers etc. as we want to ensure children get the most from their learning experience without their learning being interrupted by equipment that doesn't work or fit well. It is important to note that all children must have eye wear to swim. We accept cash for merchandise or cheques to Claudine Blair. Goggles are $25, Flippers are $40, Masks are $50, Learning Belts are $60, Barbels are $40.
  • If you are wanting your child to wear flip flops on the pool deck please note they must be brand new flip flops that have never been worn outside as per Health Board standards. We prefer children don't wear flip flops however we respect families wishes.
  • After escorting your child to the pool deck door, please leave so that your child and their classmates can get the most out of the lesson. In accordance with hotel policy, the Coast Tsawwassen Inn prefers that no parents stay on the pool deck during lessons. Furthermore, in order to offer the highest quality lessons and to ensure that children aren't distracted during their lessons, Swim Clo asks that parents understand that we do not allow parents on the pool deck.
  • At pick-up time, please DO NOT ring the door bell: we will escort your child through the appropriate change room and open the door for you at the end of the lesson.
  • Towels: the blue towels in the change room and on the pool deck are for hotel guests only. Please bring your own towels.
  • Please dress appropriately for this professional establishment: please change after the lesson - don't arrive or leave in bathing suits and towels or housecoats.

Follow these directions to the hotel's pool

  • Come through the main doors and turn left.
  • Take the elevator down to P2 that says "Pool"
  • Follow "Pool" sign with arrow. You will see the change rooms.
  • Sit quietly and out of the way of the housekeeping staff.
  • Close to the change room doors (beside the phone and fire alarm) you will see a white doorbell. Please ring the doorbell at your lesson start time so that we know you are outside and needing to be let in and just wait patiently. (The pool doors are permanently locked).

 

Pick up/Drop off Procedures

  • Escort your children to and from the pool quietly, keeping children at arm's length and reminding them to keep quiet and not run. This is also true for the change room ("inside voices please").    
  • Please arrive no more than 5 minutes before the start of your lesson and be very quiet as you are waiting for the doors to open (there is the staff room in this area where people may be resting).  
  • Please use the hotel parking located in the underground of the Coast Plaza Hotels and Suites ($1 for 1/2 hour, $4.50 for 1 hour, $9 for 2 hours).  Note the height allowed is 6'6" .  
  • If you are just dropping off your child for their lesson and leaving within 10 minutes please note there is a free 15 minute drop off spot in the underground parking off Comox street that you can use for drop off and pick up. To find the spot come down into the underground and take your first left and the spot will be on your left. FYI: come through the doors directly in front of the spot and you will be on the same level as the pool. Please ensure you are not occupying the free spot for more then 15 minutes as this will compromise our permission from the hotel to use this spot.
  • You can also park for free on Comox west of Denman..if you can't find parking there there is additional free parking on Comox street East of Denman or on Bidwell. (Sign says free 2 hour parking Monday to Sat 9-8pm, Sundays no 2 hour limit). 
  • There is also reasonably priced meter parking on Nelson Street (one block South of Comox)
  • Please do not park in the front of the hotel, which is for hotel guests only as the hotel will report all offences to Swim Clo staff.
  • Please ring the white doorbell at your lesson start time - it is located beside the telephone and fire alarm outside the women's change room doors - and wait quietly in the hallway to be let into the change rooms. We will come open the doors at exactly your start time and end time.  
  • If you would like to make use of every minute of your class it is best to have children use the washroom in the lobby and have children ready in bathing suit with goggles on their head and towel and fins in their arms so when the door opens you can quickly shower your child and the lesson can start immediately.
  • Children are encouraged to use the washroom before participating in lessons and to store their belongings out of the way of other participants. They are also required to shower. 
  • Have your child bring their towel, flippers and goggles onto the pool deck (if you do not own goggles or flippers, please do not purchase anything we will figure out your child's needs at the first lesson).  FYI: we sell the best of the best eyewear, flippers etc. so children have the opportunity to have the best learning experience and not have their learning interrupted by equipment that doesn't work/fit well.  It is important to note that all children need eye wear. We accept cash or cheques to Claudine Blair for merchandise. Goggles are $25, Flippers are $40, Learning Belts are $60 and Barbells are $40.

  • At pick-up time, please do not ring the door bell: we will escort your child through the appropriate change room and open the door for you at the end of the lesson.
  • Please make sure you are here, on time at pick up, so that your child is not unattended in the change room/hotel.
  • Please dress appropriately for this professional establishment: please change after the lesson - don't arrive or leave in bathing suits and towels or housecoats.

Follow these directions to the hotel's pool

  • Park in front of the hotel.
  • Come quietly through the main doors and turn left to take the stairs down one level or proceed straight ahead and use the elevator to go down one level, press LL and it will take you there.
  • Outside on the right of the female change room pool door you will see a white doorbell. Please ring the doorbell at your lesson start time so that we know you are outside and needing to be let in and just wait patiently (The pool room doors are permanently locked).

Pick up/Drop off Procedures

  • Escort your children to and from the pool quietly, keeping children at arm's length and reminding them to keep quiet and not run. This is also true for the change room ("inside voices please").    
  • Please arrive no more than 5 minutes before the start of your lesson and be very quiet as you are waiting for the doors to open (there are conference rooms in this area where people are working).  
  • Please use the hotel parking located in front of the Holiday Inn Express and Suites. 
  • Please ring the white doorbell once (found at the women's change room door, on the right hand side) at your lesson start time - it is located beside the female change room entrance to the pool - and wait quietly to be let in. We will come open the doors at exactly your lesson start time.  
  • Children are encouraged to use the washroom before participating in lessons and to store their belongings under the benches in the change rooms. They are also required to shower. 
  • As change room doors are permanently locked, we suggest if you are wanting to make the most out of every minute of the lesson it is best to have your child come with bathing suit on and use the washroom available before the lesson if needed. The washroom is on the hotel main entrance level next to the "Gardenia Function room". This can be accessed when you walk through the main entrance, make a right turn and proceed down the hallway. Once ready for your lesson proceed to the pool on the lower level and wait for the change room door to open with your child already in bathing suit with goggles on their head and flippers in their hands.
  • Have your child bring their towel, flippers and goggles onto the pool deck (if you do not own goggles or flippers, please do not purchase anything we will figure out your child's needs at the first lesson). Please note we sell eye wear, flippers etc. as we want to ensure children get the most from their learning experience without their learning being interrupted by equipment that doesn't work or fit well.   • At pick-up time, please DO NOT ring the door bell: we will escort your child to you at the end of the lesson.
  • Towels: the white towels in the change room and on the pool deck are for hotel guests only. Please bring your own towels.

Policies and Procedures

New Perpetual Registration Policy: 

Our registration process has changed.
Once you register in a session (excluding Summer) you are signing up for our Perpetual registration program.
Starting Spring 2016, all clients will be automatically re-registered in their same time slot for the following session during Fall, Winter and Spring sessions.
What this means is:
1) We will be charging all perpetual clients for the upcoming session (excluding Summer) 4 week prior to the end date of the current session.
2) You will receive an email statement 1 week before we charge your credit card. The tuition fees on your statement may be more or less than the current session tuition fee paid. The difference in rate may be due to either a different session length, or a change in your class size. 
Please note, all credits from the current session will be applied to your account and reflected in your statement.
3) If you wish to withdraw for the upcoming session: We require written notice 4 weeks prior to the current session end date to prevent you from being charged for the upcoming session tuition in full. All written notice must be made via email to claudine@swimclo.com. Once your withdrawal request is successfully processed you will receive a confirmation email. All withdrawals are final. Once your withdrawal request is received your time slot immediately becomes available for other families. If you have a change of heart, you will need to re-register.

Cancellation Policy for Medical Illness: 
Please note, if a swimmer can not attend their lesson because they are sick we will credit your account for ONE missed lesson per session (10-16 lessons). 

All requests for Medical Cancellations must be:
A. Supported by a Doctor's note.
B. Made at least 24 hours before the class. 
C. Made in writing and include swim school location and day and time of class.
D. There will be no cancellations accepted for the last class of each session. 

The Credited Amount:
A. Will be credited to your account.
B. Can be used towards Swim Clo programs not merchandise.
C. Cannot be redeemed for cash.

Cancellation for Non-Medical Reasons:
Unfortunately, we have a zero cancellation policy: there will be no refunds or make-up classes for missed sessions - we do apologize for any inconvenience as we have to pay coaches and pool rental regardless if you are there or not. Please book all other activities around your commitment to the swimming program.

Additional Students:
Swim Clo reserves the right to add in additional students, without consent (up to a maximum class size of 4 or 5 swimmers depending on the location) as this is how we can maximize our program excellence. If you prefer Swim Clo not add in additional students to your class please contact us to discuss this option further. Please note Swim Clo operates it's programs through customized lesson plans for each student. This means that if there are additional students added to a class, Swim Clo ensures that each student is working on his or her own plan and his/her lesson quality or safety will never be compromised because of additional student, regardless of their swim level or age. If your class does not meet the minimum number of students for the lesson to run, we will contact you to discuss options of decreasing the lesson duration or paying an additional fee. In the case, Swim Clo adds an additional student or student(s) to your class your account will be credited. Credit may be used toward future program.

Private Learning Environment
 In addition, in order to offer the highest quality lessons and to ensure that students aren’t distracted during their lessons, Swim Clo asks that parents understand that we do not allow parents on the pool deck and there is unfortunately no viewing area. We do this to ensure that the students are focused and not distracted by trying to impress Mom or Dad. You will, however, be invited to attend one of our open houses whereby you will have the opportunity to view your child’s success. Finally, whenever possible please take your child to the pool so you can be amazed at their progress and practice the skills they are learning.


Session Cancellation Policies:
All Refunds are in the form of a credit for future lessons with us. Credits cannot be redeemed for cash but can be used by family. A $50.00 admin fee per participant will apply to all cancellation.  Please ensure all session cancellation requests are emailed to claudine@swimclo.com. 
Swim Clo allows credit refunds for session cancellations for three circumstances:
A. Cancellation request has been made between registration and the day after the 2nd lesson.
B. Cancellation request is supported with medical documentation that indicates the participant cannot carry on with lessons for the rest of the session.
C. Cancellation request is more than 10 days prior to the session start date.
